Connect Google Drive, Dropbox, OneDrive, and Notion
Import cloud documents and Notion pages into your Helpnest agent. Select sources, train, refresh, reconnect accounts, and troubleshoot imports.
Bring the documents your team maintains into your agent's knowledge base. Cloud sources work alongside websites, document uploads, pasted text, and Q&A pairs.
Connect and import
- Open your agent's Data sources tab and select a provider.
- Click Connect, sign in with the provider, and approve access. For Notion, select the pages to share during authorization.
- Browse folders or available pages. Use Load more to see additional results and Refresh list after changing what is available.
- Select up to five supported files or pages and click Import. Already imported items are skipped; use their Re-sync button for updates.
- Wait for Ready in the trained sources list. Open Test and ask a question whose answer is in the imported content.
What each provider supports
| Provider | Supported content | Current scope |
|---|---|---|
| Google Drive | PDF, TXT, Markdown, CSV, HTML, JSON, and native Google Docs, Sheets, and Slides. | Browse My Drive and its folders. Shared-drive enumeration and shortcuts are not included. Docs and Slides export to text; Sheets export to PDF. |
| Dropbox | PDF, TXT, Markdown, CSV, HTML, and JSON. | Browse folders within the app’s granted access. Team-space administrator access is not requested. |
| OneDrive | PDF, TXT, Markdown, CSV, HTML, and JSON. | Browse the connected user’s drive. SharePoint site and library enumeration are not included. |
| Notion | Accessible pages with text blocks, nested blocks, table cells, and captions. | Select child pages separately. Database queries and attached file downloads are not included. |
Office files such as DOCX, XLSX, and PPTX need to be exported to a supported format before import. Scanned PDFs need selectable text; image recognition is not included. File-size limits and provider export limits apply. See data sources for plan allowances.
Keep knowledge current
Edit the original document, then use Re-sync on its trained source. For recurring updates, choose Daily or Weekly under Automatic refresh. Keep it off for manual updates only. Refresh is scheduled, not a live mirror of every edit.
Helpnest shows the last refresh time and the next scheduled check. It re-reads selected sources; new files added to a folder must be imported separately. A failed refresh keeps previously indexed knowledge available and displays an error so you can resolve the problem.
Disconnect or remove knowledge
Open the provider card and choose Disconnect to remove the stored connection credentials and stop automatic refresh. Previously trained knowledge remains available. Remove individual sources from the trained sources list to stop using that knowledge in future answers.
If access expires, use Reconnect with the same provider account, then re-sync affected sources. If you disconnected the account, connect and import again, then remove the old retained sources to avoid duplicates. You can also revoke Helpnest's access from the provider's account settings.
Troubleshooting
| What you see | What to do |
|---|---|
| Integration needs configuration | The deployment is missing provider credentials or its encryption key. Contact the Helpnest administrator; customers do not need to create their own OAuth apps. |
| No files or pages found | Check the signed-in account and folder, load more results, and refresh the list. For Notion, check that the desired pages were shared with the connection. |
| Unsupported format or no readable text | Export to a supported text format or a PDF containing selectable text. |
| Access denied or expired | Reconnect the same account and check document access. For a work account, your organization may need to approve the connection. |
| File-size or knowledge allowance reached | Use a smaller source, remove old knowledge, or review your plan. Monthly file allowances also apply to cloud imports. |
| Provider busy or training interrupted | Wait a few minutes and retry with Re-sync. Previously indexed knowledge remains available after a failed refresh. |
